LOCATION: Sunway Geo, Kuala Lumpur
ROLE POSITIONING AND OBJECTIVES
The HR Data Analytics and Reporting Specialist acts as an extension of the Global Organizational Effectiveness team (Global OE Centre of Excellence), reporting into the HR Employee Listening Data Manager. The role focuses on supporting data management activities, as well as assisting with project coordination for various key Global OE Centre of Excellence Employee Listening recurrent activities, such as (but not limited to): Your Voice census, pulse checks and, ad-hoc / recurrent HR driven surveys. This is a hands-on role, and requires the ability to perform detailed, analytical, and technical tasks simultaneously, while always maintaining strict confidentiality of employee and business information.

WHAT YOU WILL BE ACCOUNTABLE FOR
Project Management & Operational Activities
- Ensure on time and in full execution of all tasks assigned in relation to Employee Listening Data Management activities.
- Data Collection and Consolidation: Support the design of the data collection templates, their distribution and retrieval, verify data completeness, and help the consolidation and integration of collected data.
- Quality Assurance: Collaborate with the HR Data and Process Manager to follow quality assurance protocols for data collection, consolidation, and reporting processes. Regularly review data accuracy and integrity to ensure alignment to established standards.
- Systems and Tools Readiness: Ensure the readiness of all technical solutions and perform comprehensive data checks to validate their preparation and full operational functionality before launching upcoming initiatives.
- Provide the agreed level of hands-on support for any local surveys performed with global employee listening tools and services, supporting system user roles allocation and access as well as providing guidance and assistance to users navigating the results reporting platform.
- Assist in the rollout of new tools and systems, or surveys including requirements testing and training tasks while ensuring confidentiality of data by following established security/confidentiality standards.
- Training Support: Support the HR Data and Process Manager to prepare comprehensive training documentation and deliver live training sessions on employee listening initiatives, encompassing data management protocols and platform functionalities. Ensure collaborators are proficiently equipped to provide crucial information and leverage survey tools in alignment with project specifications.
- Collaborator Communication: Demonstrates proficiency in effectively presenting with diverse collaborators. Collaborates closely with the HR Data and Process Manager to manage collaborator expectations, ensuring clarity and understanding while fostering collaborative relationships across the organization.
Continuous Improvement
- Process Optimization: Assist in reviewing and assessing data management and project management processes to identify areas for enhancement. Collaborate with the GBS HR Employee Listening Data Manager to help implement improvements, streamline workflows, and enhance efficiency in driving Employee Listening initiatives.
- Training Enhancement: Support the GBS HR Employee Listening Data Manager to continually assess the effectiveness of training sessions and materials. Update training materials and methodologies based on feedback and evolving requirements to ensure collaborators are equipped with the most relevant and impactful knowledge and skills.
ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE
Skills, Knowledge, and Experience
- 2+ years of experience in reporting/data analysis/project management
- Ability to operate effectively in a matrix organization, with previous experience working with international teams and projects.
- Strong analytics and data manipulation skills, with an understanding of GDPR.
Technical abilities/ functional/ leadership
- Highly competent with Microsoft Office Suite, particularly advanced Excel.
- Experience using HRIS systems (SuccessFactors is a plus).
- Demonstrate strong problem-solving skills, proactively identifying and addressing challenges in data management and project execution.
- Demonstrate adaptability in responding to evolving project requirements, organizational priorities, and industry standard processes in data management.
- Maintain a focus on achieving project goals, driving for results, and ensuring the successful delivery of data management initiatives.
- High level of organization, accuracy, and attention to detail.
- Bachelor's/Professional degree (or equivalent qualification).
- Proficiency in English.
